Executive Assistant


The City of Port Alberni is a community of over 19,000 people. Located centrally on Vancouver Island, we are a well-serviced and growing municipality that offers residents affordable west coast living, as well as proximity to oceans, lakes, rivers and mountains.
 
The City of Port Alberni is currently looking for an Executive Assistant to join a progressive and dynamic organization that provides a full range of programs and services to taxpayers. Reporting to the Chief Administrative Officer (CAO) this position will perform a wide range of complex and confidential administrative functions in support of Mayor, Council and the CAO. 

Responsibilities:

  • Provides confidential administrative support to the CAO, Mayor and Council
  • Acts as a primary point of contact for the offices of the CAO and Mayor, and is responsible for the effective administration of the related day-to-day activities
  • Manages the flow of communication and information on behalf of the CAO and Mayor as appropriate
  • Prepares correspondence, documents, agendas, briefing documents, various reports, presentations, and other materials
  • Coordinates appointments and schedules meetings and events
  • Takes meeting minutes as required; follows up on meeting action items and related commitments
  • Assists with research and special projects
  • Effectively prioritizes issues, work requirements and deadlines
  • Perform related work as required


Qualifications:

  • Post-secondary education in public sector administration, business administration or a related field
  • 3 to 5 years’ experience providing administrative support at an executive level, preferably in a municipal government setting
  • An equivalent combination of education and experience may be considered
  • Excellent organizational, communication, customer service and leadership skills
  • Ability to establish and maintain effective working relationships and work in a collaborative manner
  • Ability to manage multiple and changing priorities in a high pressure and time sensitive environment
  • Ability to succeed in situations that are unstructured and complex and apply initiative, critical thinking and excellent judgment
  • Proactive and self-motivated


This is an exempt position, with a salary range of $74,630 - $85,634, a comprehensive benefit package and flex day work schedule. Qualified candidates may apply by forwarding a resume and cover letter by 4:30 pm on May 6, 2024:
