||Performs skilled supervisory and administrative support work of a relatively complex nature under the limited supervision of the Client Support Services Supervisor. The incumbent is responsible for the coordination and daily supervision of the RCMP Clerks, Traffic Clerk, and Word Processing and GIS Word Processing Operators. The work involves a wide variety of reception duties including handling and processing public complaints and files, data entry, and operating various office equipment such as the non- emergency RCMP Detachment switchboard. The incumbent is required to have thorough knowledge of operating systems such as PRIME, CPIC, and JUSTIN to prepare and type a variety of documents and process police records applications and other fee-for-service matters. Attention to detail and responsibility for accuracy and care when preparing, checking, processing, transcribing, filing, and completing data entry is required. Errors are not easily identified or corrected. The incumbent is responsible for the daily audit of monies collected from the public for fee-for-service applications. The job has good working conditions, but there may be occasional exposure to verbal abuse from members of the public. The position may include occasional pressures from volume of work and emotional strain when dealing with disturbing or offensive material, and the incumbent must exercise courtesy, tact, and diplomacy during contacts with the public. The incumbent is required to ensure confidentiality of RCMP information.
||ILLUSTRATIVE EXAMPLES OF WORK
- Supervises, schedules, and assigns work to the RCMP Clerks, Traffic Clerk, and Word Processing and GIS Word Processing Operators, and performs all duties of these job classifications as needed.
- Supervises, coordinates, and administers the day-to-day operation of the front counter/office, traffic office, and word processing units including providing corrective coaching and positive reinforcement to staff.
- Updates and maintains the RCMP support staff monthly schedule using the scheduling database.Responds to escalated complaints from the front counter or switchboard, explains regulations and procedures to the general public, and generates occurrence files and distributes as required.
- Conducts audits on processes and services (e.g. daily cash transactions, police information checks, false alarms, etc.) and develops and improves businesses processes as needed.
- Prepares, formats, edits, completes and reviews a variety of documentation, records and standard legal documents related to RCMP operations.
- Provides relief coverage for the RCMP Training Associate, communicates course announcements, and provides candidate names and support to the RCMP Training Unit.
- Assists in the checking of staff time sheets.
- Conducts and organizes training for new and current staff, including creating training plans in consultation with other support units as required.
- Performs related duties as required.
||REQUIRED SKILLS, ABILITIES, AND KNOWLEDGE
- Considerable knowledge and demonstrated skill in using Microsoft Office programs, specifically Word and Excel at an intermediate level.
- Thorough knowledge of RCMP data and operating systems such as PRIME, CPIC, and JUSTIN.
- Thorough knowledge of business English, spelling, punctuation, composition, and RCMP terminology.
- Considerable knowledge of the operation of standard office equipment and competent in operating computers and word processing packages.
- Ability to schedule, supervise, coordinate, and train staff.
- Ability to motivate, coach, coordinate, and assist RCMP Clerks, Traffic Clerk, and Word Processing Operators.
- Ability to self-motivate and to monitor timelines and work plan responsibilities with minimum direction and supervision.
- Ability to deal courteously, tactfully, and diplomatically with the public both on the telephone and at the counter with respect to a wide variety of complaints, problems, and circumstances and to relay emergency situations to the appropriate contacts.
- Ability to communicate effectively orally and in writing, including good knowledge of the composition of business reports, letters and documents.
- Ability to work under pressure and exercise independent judgment in determining work priorities.
- Ability to maintain sustained attention to detail, checking and referencing. Ability to transcribe neatly, quickly and accurately from handwritten material, hard copy, or audio/digital format.
- Ability to operate a Dictaphone, and digital devices for statement transcription.
- Ability to handle occasional exposure to extremely graphic or offensive information.
PREFERRED TRAINING, EXPERIENCE, MEMBERSHIPS, ETC.
- Formal training in statutory and provincial regulations and federal acts as they pertain to the release of information.
- Previous experience coordinating events.
REQUIRED LICENCES, CERTIFICATES, ETC.
- Completion of senior secondary school or its equivalent.
- Completion of a post-secondary certificate in one of the following disciplines: Administrative Assistant, Business Management, or Local Government.
- Completion of computer courses or experience in intermediate Word and intermediate Excel, as demonstrated through testing. 60% pass rate required.
- Typing speed of 50 net words per minute, as demonstrated through testing.
- Minimum of two years’ experience in the last five years supervising, training, and coordinating staff in an office environment, including managing client relations in person and over the phone.
- Successful completion of PRIME Records Management System course and the online CPIC course through Agora.
- Ability to obtain and maintain RCMP Reliability Security Clearance.
- Ability to be designated as a “Special Provincial Constable” under the British Columbia Police Act.
- Valid Class 5 BC driver’s licence.
