Executive Assistant to the Mayor and CAO

The City of Port Coquitlam is looking for a seasoned professional who has strong written and verbal communications, organization, political acumen, critical thinking and exceptional people skills to join our executive team. The executive assistant is responsible for ensuring the smooth operation of the mayor and CAO’s office by using tact and diplomacy while maintaining a high degree of professionalism and confidentiality. In this role, you will have the unique opportunity to work directly with the Mayor, CAO, Council as well as collaborate with a wide variety of employees at all levels of the organization.

  • You are a collaborative, team player who is able to multi-task, organize and prioritize work under pressure with constant interruptions.
  • You have strong analytical skills and excellent verbal and written communication skills, including listening and persuasion skills. Superior business writing skills including an adept ability to proofread and edit documents and draft non-routine correspondence.
  • You have extensive experience in office administration and have demonstrated success in relevant, progressive administrative roles with a minimum of five years’ experience at a senior executive assistant. 
  • You have completed undergraduate post-secondary education in business, public administration, public relations or a related discipline. An equivalent combination of experience and education will also be considered.
  • Advanced skills in Microsoft Office suite.

As an Executive Assistant you will:
  • Manage the mayor and CAO’s calendar
  • Manage all correspondence coming into the Mayor and CAO’s office
  • Receive and triage community and stakeholder inquires and concerns
  • Prepare the mayors speaking notes and briefings
  • Coordinate travel and meeting plans, including conferences and event registrations for the CAO, Mayor and Council as required
  • Liaise with high level Provincial, Federal and Municipal offices and counterparts, private corporations, and others to coordinate information and meetings
  • Provide event planning for Mayor led City events
  • Provide administrative support to other members of Council and senior management as required
