Reporting to the Clerk 4, you will be responsible for complex supervisory clerical and stenographic work. A major responsibility of this class is to relieve a superior of office detail. Acts as a secretary to one or more administrative superiors, may act as secretary to a major municipal commission or committees; arranges appointments, takes and transcribes dictation on a variety of technical and administrative matters, coordinates the preparation and distribution of agendas. Opens, sorts and reads incoming mail; composes non-routine office correspondence; types complex reports, memoranda, minutes, correspondence, budget statements, tabulations and documents using a typewriter and/or using word processing equipment. Accumulates, assembles, and indexes a wide variety of information from such sources as: pamphlets, reports, books, and newspaper clippings; maintains large complex alphabetical, numerical and subject files. Provides a wide variety of departmental information to private and public enquiries on matters such as authorizations, reports, forms and policy. Maintains frequent contacts for a superior with public and private executives, professional persons and other officials. Performs a variety of clerical functions such as compiling staff payroll, preparing budget summaries and minor account statements, issuing cheques, maintaining and controlling a variety of files, records and documents. Relieves a superior of administrative details such as scheduling staff work, monitoring work load, assigning and directing the work of one or more junior level staff engaged in less complex clerical and/or typing tasks. Performs related work as required.

Qualifications include completion of Grade 12 including or supplemented by courses in stenography, typing, word processing, and commercial subjects preferably including basic accounting and bookkeeping courses and considerable experience as a Clerk Stenographer 3; or an equivalent combination of training and experience. Thorough knowledge of departmental rules, regulations, procedures, functions and objectives and rules of the department; of shorthand, business English, spelling, punctuation and arithmetic. Considerable knowledge of modern office practices and procedures. Some knowledge of bookkeeping terminology and practice. Ability to take and transcribe dictation of a technical nature with high accuracy and considerable speed; to compose a variety of non-routine letters and departmental correspondence with only general instructions from a superior; to compile and prepare reports and accounts and maintain and control a variety of files, records and documents; to operate common office appliances including a typewriter, word processor, and computer terminal; to relieve a superior of administrative details; and to understand, interpret and develop complex oral and written instructions. Skill in the operation of word processing equipment and in taking and transcribing dictation.

This is a temporary full time position to December 3, 2018.
