Judicial Administrative AssistantSalary $24.52 - $27.73 hourly
This position is part time (0. 5 FTE, 35 hours biweekly)
The Judicial Administrative Assistant (JAA) provides highly confidential administrative services, financial administration, office management, and other related administrative duties to the Regional Administrative Judges (RAJs), Provincial Court Judges (PCJs), and Judicial Case Managers (JCMs). In this role, the JAA reports to the JAA Supervisor and receives functional direction from their respective RAJ. The JAA handles confidential court documents such as judgments, transcripts, and records, making it vital that the JAA be able to maintain the confidentiality of court materials at all times.
JAAs are highly motivated administrative professionals with a strong sense of order, who are able to work both independently and in teams, have the ability to adapt and problem solve under pressure, and find great reward in providing exemplary administrative support services and facilitating the successful operation of the Provincial Court Judiciary. The contribution of the JAAs is significant to the image of the Provincial Court Judiciary, as they are the front-line liaison for their respective RAJs on behalf of the region and communicate with all levels of the Provincial Judiciary, the Chief Judge and staff, Court Services Branch, Sheriff Services, Crown Counsel, members of the police departments, other justice partners, and members of the general public.
The JAA must possess a general familiarity with the Rules of Court as well as Provincial Statutes, Regulations and Codes. The JAA must apply analytical and conceptual skills during the editing and proofreading phases of judgment preparation. The JAA must have a basic understanding of the legal, factual, evidentiary and/or procedural issues arising to allow for competent copy editing and substantive review of the reasons for judgment. The JAA will also apply all publication bans and privacy issue standards and requirements (e.g. verify if a ban exists and apply protocols in accordance with legislation and guidelines). The JAA is required to handle highly confidential information, including draft reasons for judgment and other documentation. To protect judges from inappropriate public contact, the JAA must use discretion in screening telephone calls, faxes, correspondence and, in some instances, chambers access. The JAA must also make decisions on whether a judicial officer or a sheriff needs to be notified
Qualifications for this role include:
- Minimum of four years’ administrative/ secretarial experience/ court clerk required, of which 1 year is in a legal capacity;
- Significant experience/training in keyboarding (50 wpm minimum);
- Experience with current MS Office Suite, specifically Word and Excel;
- Proven machine dictation or transcribing experience may be preferred;
- Proven high-level experience in editing and proofreading;
- Preference may be given to applicants with experience editing Judgments;
- Administrative Assistant, Legal Secretary or Legal Administration Courses are preferred;
- Or equivalent combination of education and experience.
