Administrative Assistant (Clerk Typist III)

Auxiliary - 2 consecutive days per week
(This is a job share position that ends March 1, 2019, with the possibility of extension)
In this job share position, you will be working with the Purchasing and Risk Management team in our Financial Services Department, supporting the Buyers and other team members with their day to day work.  We are seeking an administrative professional with great attention to detail and high level of accuracy, coupled with excellent communication skills.  This position will work 2 days per week, scheduled on Monday and Tuesday.
Plans, assigns and reviews the work of one or more subordinates engaged in a variety of tasks of some complexity.
Performs complex clerical and secretarial duties for a superior and/or superior's subordinates, arranges appointments and meetings, schedules travel arrangements, interviews callers, prepares routine correspondence, supplies information to internal contacts and relieves superiors of minor administrative detail.
Types from rough draft a variety of material such as complex bid and contract documents, reports, tabulations and statistical charts, letters, memos, agendas and meeting minutes, forms and notices.
Provides information and assistance to the public in person or over the telephone; handles a variety of enquiries regarding the functions, policies, procedures and activities of the Metro Vancouver Regional District (MVRD); handles requests for information, brochures, and other MVRD reports and publications often requiring judgement as to the type of information selected.
Distributes and checks departmental timesheets, records timesheet information onto payroll time reports and into Job Control System via computer terminal.
Performs expenditure monitoring duties such as: checking invoices, recording printing costs and consultant authorizations and payments.
Initiates clerical debt repayment procedures such as: cheque payments and invoice billings and ensures for distribution of computer printouts.
Performs some of the duties of Administrative Assistant to the Department Head, during absence of same.
Prepares tender specifications for log sales, verifies scale and royalty accounts, prepares log stock summaries and accounts for scaling charges, log sales, royalties and payments due to scalers and contractors.
Collects, scans, organizes, prepares, maintains, records and indexes contract data, material, correspondence, brochures and public information materials; prepares and issues contract addenda as necessary.
Posts documentation on the Metro Vancouver Web site and BC Bid Web site.
Performs related duties as required.
Completion of the 12th school grade, including or supplemented by commercial and secretarial subjects.
Considerable related experience preferably as a Clerk Typist 2 or an equivalent combination of training and experience.
All the required knowledge, abilities and skills of the Clerk Typist 2 class.
Considerable knowledge of secretarial practices and procedures applicable to the department.
Considerable knowledge of timekeeping codes and related procedures, as required.
Considerable knowledge of contract document processing, as required.
Sound overall knowledge of the Regional District organizational structure and of the functions and activities of its departments and divisions.
Ability to assign and supervise the work of one or more subordinates engaged in a variety of routine office tasks.
Ability to perform secretarial tasks and relieve several superiors of office and minor administrative detail with minimal supervision and to initiate clerical procedures as required.
Skills in typing, editing and formatting various documents from rough draft and in inputting computer data.
