Administrative Assistant - Fire Department
We are looking for a dynamic, self-motivated and seasoned Administrative Assistant to join our Management Team for approximately 15 months. You will be responsible for overseeing and coordinating the administrative support functions to our Department, which will include managing all office functions, assisting in the preparation of budgets, financial analysis, preparing correspondence and reports and maintaining a variety of records. You will also maintain and administer various departmental business systems/activities (intranet, scheduling and payroll, web pages, training, project initiatives and user groups), co-ordinate special functions/events, and provide user support within the department. You will review administrative policies and procedures and recommend revisions, represent the administrative function as a member of the Management Team.
This position requires an individual with a strong work ethic who has demonstrated leadership skills, strong analytical and problem-solving capabilities, superior communication and interpersonal skills and a demonstrated ability to effectively manage and prioritize multiple demands. In addition, you will possess the diplomacy and tact required to deal effectively with a variety of stakeholders to continue to build a positive working environment.
The ideal candidate will have a Certificate in Business Administration and an accurate typing speed of 50 wpm, as well as considerable related supervisory, budgetary and payroll experience, preferably in a unionized fire service management environment, or an equivalent combination of training and experience. Proficiency with Microsoft Office and an extensive knowledge of a scheduling/payroll system (FDM, TeleStaff and PeopleSoft) along with a valid BC Class 5 driver’s license are requirements.
Shortlisted candidates may be required to complete standardized tests or exercises to demonstrate their applicable skills and knowledge.
During the recruitment process, applicants will be requested to provide a current Police Information Check (PIC).
