Executive Assistant - Research and Communications

Regular Full-time

We are looking for a regular exempt full-time Executive Assistant – Research and Communications to provide research and communications assistance and administrative support to the Mayor’s Office.

In this role, you will research, prioritise and follow up on issues and concerns addressed to the Mayor’s Office, including those of a sensitive or confidential nature.  You will conduct research on public policy and analyze data for confidential reports that may impact local policy decision.  Other duties will include preparing briefing documents for meetings, presentations and speeches;  in consultation with the Communications Department, assisting with communication from the Mayor’s Office to internal and external audiences;  liaising with the Communications Department to create compelling and engaging content for correspondence, memos, speeches, presentations, reports, social media and sponsored content;  developing the social media profile for the Office of the Mayor on social media sites;  working  with the offices of the Chief Administrative Officer and Corporate Officer, coordinating and scheduling public outreach activities and events;  attending public events with the Mayor and coordinating communication following the events.  You will establish and maintain effective working relationships with internal and external stakeholders.

This position requires an individual with a high degree of integrity, diplomacy and discretion in managing confidential and sensitive documents and information.  Excellent communication skills (both oral and written) and strong interpersonal skills are required.  You must have the ability to interact effectively with internal and external stakeholders.  Exceptional attention to detail, flexibility and an enthusiastic attitude are essential.

You will have a Bachelor’s Degree in Public Administration, Business Administration, Political Science or relevant discipline, with at least 5 years’ related senior administrative experience and involvement in managing social media content, or an equivalent combination of education and experience.  Experience working in a local government environment would be an asset.  The demonstrated ability to organize, prioritize and coordinate a variety of tasks and assignments is also required.  Proficiency in Microsoft Office, together with a working knowledge of an electronic Records Management System would be beneficial.  You must have the ability to keyboard at a net speed of 50 words per minute.  A valid Class 5 BC Driver's Licence is required.
