This temporary full-time position involves specialized clerical work, providing a variety of administrative support services in the City Clerk’s Office. The incumbent will act as a Committee Clerk to Council, various committees, boards, commissions and public forums, coordinate meeting arrangements, prepare agenda and supporting material, ensure legal requirements such as advertising, time frames and appropriate notifications have been met; takes, edits, transcribes and distributes minutes, advises on procedural rules during such meetings, and follows-up on actions and decisions of committees as appropriate; maintains a variety of departmental files, records and documents.
The successful applicant will exercise tact, diplomacy and considerable independence of judgment and action within established guidelines, and review more complex problems and matters of policy with a supervisor. This position is required to work a flexible Monday – Friday 35 hour work week, which includes some evening work.
Desirable Training and Experience:
Completion of the 12th school grade supplemented by post secondary education in a related field plus considerable related experience in municipal procedures; or an equivalent combination of training and experience. Considerable knowledge of local government functions and objectives of various municipal committees served and of procedural rules used in meetings of such authorities. Computer operating skill including Microsoft Word at an advanced level and Excel and PowerPoint at an intermediate level. A minimum 50 words per minute typing speed is preferred.
Shortlisted applicants may be required to undergo a keyboarding and minute taking test.
A valid Class 5 British Columbia Driver’s Licence is required.
