Request for Proposals
RFP # 2020-29
The City of Dawson Creek requests detailed proposals from qualified audio/video vendors to supply, install, and provide long-term service for a new upgraded audio/video system and components in City Hall Council Chambers.
All contract documents are available through BC Bid. The Proponent is solely responsible for ensuring any addenda are downloaded, reviewed, and included in their bid. Questions regarding specifications can be directed to Melina Sweezey, Parks and Facilities Manager, at firstname.lastname@example.org. Do not submit proposals or pricing information to this email address.
Proposals will be accepted up to 2:00 p.m. (local time), July 3, 2020 and may be submitted by either of the following methods:
Sealed in an opaque envelope, clearly marked with the Proponent’s name and address and the project name and number and delivered to:

OR submitted electronically in PDF format with the opportunity name and number noted in the email subject line to: email@example.com. Submissions received at any other email address will not be considered as received by the City of Dawson Creek.
If submissions exceed the permitted email size of the sender or the City, Proponents should send the submission in multiple emails indicating on each email the total number of emails being sent.
Please note the City of Dawson Creek remains in Mountain Standard Time year round and does not observe Daylight Savings Time. All emails must be received by the City no later than the closing time in Dawson Creek, BC. Late submissions will not be accepted or considered.
The City will not be liable for any delay or non-receipt of emails for any reason including technological delay or issues by either party’s network or email program. The City accepts no responsibility for submissions that fail for any reason to enter into the City of Dawson Creek’s system by the closing time. As email transmission can be delayed due to high volumes of internet traffic, file transfer size, transmission speed etc., it is the submitter’s responsibility to submit their documents sufficiently in advance of the closing time to allow for receipt by the City. Parties submitting via email near the deadline do so at their own risk.
It is the sole responsibility of the Proponent to ensure that its proposal is received at the above location and by the time stipulated. Proposals received after the stipulated time will be rejected and returned to the Proponent unopened. Faxed proposals are not acceptable and will be rejected. The City reserves the right to accept or reject all or any proposals and to waive any informality, incompleteness or error in any proposal.
Proponents must refer to the Request for Proposal documents for the terms governing the proposal process. All costs incurred by Proponents in the preparation and presentation of their proposal will be at their own expense.
